Private Client PA / Legal Secretary

Our friendly and successful legal 500 firm in Pinner is seeking a full-time PA/legal secretary for our Private Client department.

Responsibilities will include

Providing full secretarial support to the Senior Lawyers in the Private Client Team as requested to enable them to work efficiently. This includes a wide range of tasks, in particular:

  • Audio Typing (Speechwrite 360), copy typing and proof reading.
  • Preparing initial letters from our database for the solicitor to review.
  • Electronic filing of incoming correspondence, outgoing copies, invoices and reports.
  • Typing Wills accurately using precedent bank, drafting LPA’s and Court of Protection Applications.
  • Register wills with Certainty and responding to Will Search enquiries.
  • Production of attendance notes.
  • File Administration via the Case Management system.
  • Emailing, printing, scanning and copying documents.
  • Liaising with clients, Probate Registry, OPG and other professionals.
  • Taking telephone messages from clients and others to include enquires for Wills.
  • Meeting with clients to witness the execution of clients wills/ documents.
  • Manage initial enquires from potential clients to establish their requirements and be able to progress enquires.
  • Making appointments and managing diaries and meeting arrangements.
  •  Dealing with client on -boarding and file opening procedures.
  • Preparation of monthly billing and liaising with the accounts department.

Other

  • Contributing to the other activities of the firm and providing secretarial support to other departments upon request.

Key Skills and Attributes

  • Previous relevant experience in private client and wills department.
  • Fast and accurate typing skills including digital audio systems.
  • Experience with case management systems.
  • Knowledge of IHT forms Estate Accounts, Grant of Probate and HMCTS portal desirable.
  • Excellent communication.
  • Strong team player.
  • Excellent IT skills, Word and Excel.
  • Good attention to detail.
  • Organised and able to prioritise your caseload.

Salary is subject to experience.
